JOB FUNCTION AND PURPOSE

The person in this associate staff position, under the supervision of the Director of

Business and Finance, is primarily responsible for processing and recording daily

accounts payable transactions of the Idaho Education Association (IEA) and the IEA

Children’s Fund. In addition, the Business Assistant supports fellow Business Office

team members as assigned by the Director of Business and Finance.

DUTIES INCLUDE:

  1. Process and record IEA accounts payable and assure all invoices are correctly authorized and coded.
  2. Maintain knowledge of accounting applications and Microsoft Office applications utilized by the Association.
  3. Provide budget and coding support to IEA staff as needed.
  4. Process and code per-diem forms for Association meetings and obtain proper authorizations.
  5. Assist in the budgeting process by providing data and reports, as requested.
  6. Assist in the annual audit process by providing the auditors with account analysis and documentation, as required.
  7. Maintain and organize workplace by regularly filing check requests and accounts payable support documentation in a timely manner.
  8. Date stamp and distribute daily business office mail.
  9. Assist with daily bank deposits and recording of cash receipts.
  10. Assist with membership processing in the membership database system.
  11. Assist IEA leaders and staff with inquiries related to membership records and requests for membership reports, forms and other materials as requested.
  12. Assist with cash receipts and accounts receivable functions, as assigned.
  13. Assist with clerical duties, including filing and record management.
  14. Assist with the administration of payroll and employee benefits records.
  15. Assist with preparation of required state and federal reports.
  16. Share responsibility for covering phone calls in the IEA central office.
  17. Maintain confidentiality of IEA financial and HR/benefits records.

KNOWLEDGE AND ABILITIES:

  • Proficiency in use of Microsoft Office applications (i.e. Word, Excel, Outlook, Publisher, PowerPoint, etc.).
  • Self-directed; able to finish projects within timelines and without direct supervision.
  • Ability to learn advanced computer operations and electronic banking processes.
  • Effective verbal and written communication skills.
  • Strong bookkeeping skills, especially accounts payable and receivable, record keeping.
  • Knowledge of electronic record keeping.
